Northern Grit Digital Inc. (“we”, “us”, “our”) operates Monochrome Magic. This Privacy Policy explains how we collect, use, and protect your personal information when you use our Service at monochromemagic.ca.

2. Information We Collect

• Account information: Your email address, collected when you register.
• Usage data: Token balance, generation history (prompts and output image URLs), and timestamps.
• Payment data: Payment processing is handled entirely by our payment processor. We do not store credit card numbers or sensitive payment details.
• Shipping information: If you order a printed colouring book, we collect your full name, shipping address, and phone number during checkout. This information is stored securely and used solely to fulfil your print order.
• Print order history: When you place a book order, we store the order details (page count, quantity, pricing, order status, and shipping address) in our database so you can track your order and so we can handle any fulfilment issues.
• Uploaded photos: If you use the photo-to-art feature, your photo is uploaded temporarily to process your request. It is permanently deleted from our servers as soon as your colouring page has been generated. We do not retain your original photo.
• Generated images: The colouring page output we produce for you is stored in secure cloud storage and accessible through your gallery. You can delete any individual image at any time directly from your gallery. All remaining images are deleted if you request account deletion.

3. How We Use Your Information

• To provide and operate the Service
• To manage your account and token balance
• To process payments and send transaction confirmations
• To respond to support requests
• To improve the Service through aggregated, anonymized usage analytics

4. Data Storage and Security

Your account data is stored in a managed PostgreSQL database, secured with row-level access controls so that each user can only access their own data. Generated images are stored in secure cloud object storage.

We implement industry-standard security measures to protect your data. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

5. Third-Party Services

We use the following third-party services to operate Monochrome Magic:

• Database and authentication provider: stores your account data and manages secure sign-in.
• Hosting and storage provider: serves the application and stores your generated images.
• Payment processor: handles payment processing and shipping address collection at checkout.
• AI image generation provider: processes your prompts and photos to produce colouring page art.
• Print fulfilment partner: When you order a printed book, your shipping address and a PDF of your selected pages are transmitted to our print and fulfilment partner to produce and ship your order.
• Transactional email provider: delivers order confirmation emails on our behalf.

Each provider has their own privacy policy governing the data they process on our behalf.

6. Data Retention

Here is exactly what we keep and for how long:

• Email address: Retained for the lifetime of your account. Used only for login and transactional emails (e.g. password reset, order confirmations).
• Uploaded photos: Deleted immediately after your colouring page is generated. Never retained.
• Generated colouring pages: Stored until you delete them yourself via your gallery, delete your account, or request removal by contacting us.
• Prompt text: Saved alongside your generation history so you can reference what you created. Deleted with your account.
• Shipping address and phone number: Retained on your print book order record for order tracking, support, and legal fulfilment obligations. Not used for marketing.
• Print order records: Retained indefinitely for order tracking and support purposes. Includes order status, page count, quantity, and pricing.
• Payment records: Our payment processor retains transaction records per their own legal obligations. We store only your token balance and order totals, not payment details.

You may request deletion of your account and all associated data at any time by emailing us at support@monochromemagic.ca.

7. Children's Privacy

Monochrome Magic is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will delete it promptly.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Withdraw consent for data processing
